This Privacy Policy explains how Glamourithm (“Glamourithm,” “we,” “us,” or “our”) collects, uses, and shares information about you when you use our web application, websites, and related services (collectively, the “Service”).
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, you should not use the Service.
1. Who We Are & Scope
Glamourithm is a scheduling and optimization platform for beauty businesses that helps teams manage artists, guests, and day-of event schedules.
This Privacy Policy applies to:
- Visitors to our websites, and
- Users who access or use the Service, whether as an Organization owner, admin, artist, viewer, or other role.
If you use the Service as part of an Organization (for example, a beauty team or studio that invited you), that Organization is generally the “controller” of the data associated with its workspace. We act as a “processor” or “service provider” to that Organization, handling data on its behalf.
2. Information We Collect
We collect information in three main ways: (1) information you provide to us; (2) information collected automatically; and (3) information from third parties.
2.1 Information You Provide
Account & Organization Information
- Name
- Email address and password
- Organization name and settings
- Role within the Organization (Owner, Admin, Artist, Viewer, etc.)
Event & Guest Information
Through the Service, your Organization can store scheduling information, including:
- Event details (date, location, ready-by time, notes)
- Artist rosters, skills, and assignments
- Guest information (names or placeholders, roles such as “bride” or “maid of honor,” services like hair and/or makeup)
- Event notes (for example, allergies or special instructions)
- Internal notes for managers (for example, pricing, margins, or client issues)
This information is entered and controlled by your Organization. If you are a client or guest of a beauty business that uses Glamourithm, your information is typically provided to us by that business, not directly by you.
Communication & Support
- Messages you send us via email or in-app contact forms
- Feedback, survey responses, or feature requests
Payment & Billing Information
Payments for subscriptions are processed by our payment partner(s) (such as Stripe). They may collect:
- Name and contact details
- Payment card information
- Billing address
We do not store your full payment card number on our servers.
2.2 Information We Collect Automatically
When you use the Service, we automatically collect certain technical information, such as:
- Log data: IP address, browser type and version, device type, operating system, the pages you visit, the time and date of your visit, and how long you spend on pages
- Usage data: actions within the app (e.g., creating events, generating a schedule, editing guest lists), error messages, and performance metrics
- Cookies and similar technologies: small data files used to keep you logged in, remember preferences, and analyze usage
You can usually control cookies through your browser settings, but disabling them may affect how the Service functions.
2.3 Information From Third Parties
We may receive information about you from:
- Authentication / Email providers (for example, when we send login links or invite emails)
- Payment processors (limited billing details, payment status)
- Third-party services connected to the Service (if we later add integrations with calendars, CRMs, etc.)
If you are an artist or guest, we may receive your information from the Organization that uses Glamourithm to manage its events.
3. How We Use Information
We use the information we collect for the following purposes:
To Provide and Maintain the Service
- Create and manage accounts and Organizations
- Authenticate users and secure access
- Store and display events, guests, artists, notes, and schedules
- Generate conflict-aware schedules and exports
To Operate, Protect, and Improve the Service
- Monitor and analyze usage and performance
- Fix bugs and troubleshoot issues
- Develop new features and functionality
- Improve user experience and onboarding
To Communicate With You
- Send transactional emails (for example, account confirmations, password resets, invites, and important service notifications)
- Respond to your questions and support requests
- Send product updates or marketing communications (where permitted by law and your preferences)
To Comply With Legal Obligations and Enforce Terms
- Detect and prevent fraud, abuse, or security incidents
- Comply with applicable law and legal processes
- Enforce our Terms of Service and other policies
We may use aggregated or de-identified data (that does not identify you personally) for analytics, benchmarking, and improving our services.
4. AI and Automated Processing
Some features of Glamourithm may rely on automated processing or third-party AI providers. For example, when you use features that parse or interpret a pasted guest list, we may send that text to an AI service to help structure or interpret the data.
When we use such services:
- We send only the data necessary for the feature to work (for example, the text of the guest list).
- We use reputable providers and implement measures designed to protect the confidentiality of your data.
- We do not permit the use of this data for advertising to you.
Your Organization is responsible for ensuring it has appropriate permission to submit guest or client information to these features.
5. How We Share Information
We do not sell your personal information. We may share information in the following situations:
5.1 Service Providers
We use third parties to help us operate and provide the Service. These may include:
- Infrastructure & Hosting: cloud hosting and database providers (e.g., Supabase, Vercel, Modal)
- Email Delivery: transactional email services (e.g., Resend or similar)
- Payment Processing: billing and subscription management (e.g., Stripe)
- Analytics & Monitoring: tools to understand usage and monitor performance or errors
- AI Services: providers that assist with text parsing or similar functionality
These service providers are authorized to use your information only as needed to provide services to us and are bound by contractual obligations to protect it.
5.2 Within an Organization
If you join an Organization on Glamourithm, certain information may be visible to other members of that Organization, depending on your role and the Organization’s settings. For example:
- Your name and email address may be visible to the Organization owner and admins.
- Your assignments and event participation may be visible to other team members.
We are not responsible for how an Organization chooses to share or manage data within its own team.
5.3 Public Schedule Links
Managers can create tokenized public schedule links that show event schedules without requiring a login. Anyone who has the link may be able to view the schedule, including guest names and service details.
Organizations are responsible for:
- Deciding when to create public links, and
- Controlling how those links are shared with others.
5.4 Legal Requirements & Protection
We may disclose information if we believe in good faith that it is reasonably necessary to:
- Comply with applicable laws, regulations, legal processes, or government requests
- Protect the rights, property, or safety of Glamourithm, our users, or the public
- Detect, prevent, or address fraud, security, or technical issues
5.5 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our business, your information may be transferred as part of that transaction, subject to appropriate protections and this Privacy Policy (or a successor policy that is at least as protective).
6. Data Retention
We retain personal information for as long as necessary to:
- Provide the Service to you or your Organization
- Fulfill the purposes described in this Privacy Policy
- Comply with legal, tax, and accounting obligations
- Resolve disputes and enforce our agreements
Organizations may control how long event, guest, and schedule data is kept in their accounts. We may retain certain logs and aggregated data for longer periods for security, analytics, and record-keeping purposes.
If your account is closed or your Organization stops using the Service, we may retain some limited information as required or permitted by law, or in de-identified form.
7. Security
We use reasonable technical and organizational measures to protect the information we collect, including:
- Encryption in transit (HTTPS)
- Access controls and role-based permissions within Organizations
- Secure infrastructure providers and secret management for credentials
However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security. You are responsible for:
- Keeping your password and login details confidential
- Not sharing your login information with others
- Using up-to-date software and security practices on your devices
8. Your Rights & Choices
You may have certain rights and choices regarding your personal information, depending on your location and relationship with us.
8.1 Account Information
You can access and update your account information (such as your name and email address) through your profile settings. If you are part of an Organization and cannot change certain details, you may need to contact your Organization’s owner or admin.
8.2 Marketing Communications
We may send you marketing emails about new features or updates. You can opt out of marketing emails at any time by clicking the “unsubscribe” link in those emails.
We may still send you important transactional or service-related communications (for example, password resets, billing notices, or critical updates) even if you opt out of marketing messages.
8.3 Data Requests
Subject to applicable law, you may have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your personal information, subject to certain exceptions
- Object to or restrict certain processing activities
If you use Glamourithm as part of an Organization, we may direct your request to that Organization, since it is typically the controller of your data.

9. International Transfers
We are based in the United States, and we may process and store information in the United States and other countries where our service providers operate.
By using the Service, you understand that your information may be transferred to countries that may have different data protection laws than your country. Where required, we implement appropriate safeguards (such as contractual protections) to protect your information in such transfers.
10. Children’s Privacy
The Service is intended for use by businesses and individuals who are at least 18 years old. We do not knowingly collect personal information from children under 13 (or a higher age if required by the laws of your jurisdiction).
If you believe that a child has provided personal information to us in violation of this policy, please contact us at support@glamourithm.com, and we will take appropriate steps to delete it.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do:
- We will update the “Last updated” date at the top of this page.
- For material changes, we will use reasonable efforts to provide additional notice (for example, via email or in-app notifications).
Your continued use of the Service after any changes become effective means you accept the updated Privacy Policy. If you do not agree, you should stop using the Service.
